MINUTES OF THE BOARD OF DIRECTORS
AUGUST 19, 2008 MEETING
UH LETTERWINNERS CLUBHOUSE


President Don Weir called the meeting to order at 5:06 p.m.

Present: Dr. Charlie Araki, Erika Buder-Nakasone, Ed Gayagas, Edward Inouye, Wes Kimura, Leanna Lui (recorder), Riley Mende, Marilyn Moniz-Kahoohanohano, Kenneth Nagatani, Gordon Scruton, Dr. Don Weir

I. Welcome by President Don Weir.

II. Review and/or Approval of Minutes – Erika Buder-Nakasone noted typos/correction of spelling of two names. Erika motioned for approval of the July 15, 2008 minutes with noted corrections. Riley seconded motion. BOD voted; all in favor no opposed.

III. Financial Report – Mitch Ka'aiali'i absent. Carl clap reported small budget set up for LWC to help facilitate small activities, budget set aside $15,000 for this fiscal year 07/08 – 06/09 to help support clubs continued growth and involvement. Will have to be cautious of procurement laws when requesting funds for particular uses.

IV. AKA Meeting – Wes Kimura reported last meeting was on 08/13/08. Sales/Marketing Committee reported that 49 new Luxury Loge Sport packages have been sold which accounts for an extra $183,000 in new revenue. The board terms of Don Murphy, Warren Luke, Rick Humphreys and Warren Haruki ended on June 30, 2008. New AKA Board members are: Rob Iopa, Ernie Nishizaki, Carolyn Berry, Al Chee, Ray Ono, Nick Teves, and Kurt Osaki. MaryAnn Sacharski will take over the Board seat representing the UHLWC from the next AKA meeting in September.


V. Unfinished Business

a. UH LWC 08/30/08 Event – Erika Buder-Nakasone reported on table updates. Ms. Buder-Nakasone will have loss/profit report following event. Banquet check items print out distributed.

Cheerleaders and band will be present at event until half time. Don Weir reported that premium tables will have champagne in a bucket for the table. Got cases of corbel extra dry on sale. There will be four large 50 inch plus monitors near the stage and two near the back. Several other monitors on tables in the premium areas and for commentators. Dr. Weir and MaryAnn Sacharski will bring in Coach Wagner from Big Island.

Discussed if should include four banners from women's volleyball NCAA Divison 1 National Championship for Decoration; however conclusion by BOD is that it is not in presentable condition. Dr. Weir will look into dry cleaning and restoration to freshen up for presentation and future display. Marilyn Moniz-Kahoohanohano will call Vicky Cayetano to check with her business regarding cleaning and restoration services.

Set up committee for event includes Taryn Matsuda, Leanna Lui, Erika Buder-Nakasone, Colleen Weir, Riley Mende, Ed Gayagas, Wes Kimura, and Daniel Arakaki. Discussion of take away sale vs. silent auction (priced at 75% of value). Mr. Gayagas explained take away item process, no runner's receipts, and immediate cash out payment, in hopes that it will generate quicker response of purchases.

Inquiry of designation of funds from this event. Riley motioned to designate up to $10,000 from this event to the Athletic Dept. for off budget materials. Designation to be determined by AD and Asst ADs prior to event date. Mr. Gayagas seconded. All in favor, none opposed.

b. Benefit for Jim Donovan and Greg McMackin – Event held on 07/31/08. BOD purchased two tables. Event went well

VI. New Business

a. Letterwinner fundraiser awards/ honorary member - Don Weir proposed Jim Leahey as an honorary membership for one year, for recognition of service to UH and willingness to participate in assisting in events. Further discussion noted that such a nomination would be along lines of the President's Award. Another suggestion offered was to recognize all award recipients for that year at the banquet, including the Kane Fernandez winner and making a reception for the President's Award in association to another game. Riley Mende motion to combine next year's fundraiser event with an award to Jim Leahey. Gordon Scruton seconded. Motion is tabled until future meeting for further discussion and consideration.

b. Homecoming Steering Committee Meeting on 07/16/08 at 3pm at Hawaii Hall- Marilynn Moniz-Kahoohanohano attended on behalf of LWC. There will be a golf tournament at Prince Golf Course 10/08/08; pre-party event on 10/10/08; official tail gate inside of stadium on 10/11/08, approx $50 per entry. Game is on 10/11/08.

Follow up on LWC pledge of extra funding for shuttle for students and UH staff. Next meeting at Hawaii hall on 09/10/08 at 3:15pm. Also received email from Janet Bullard for LWC participation to come on the field.

VII. Other Business

Erika Buder-Nakasone reminded to follow up regarding Aloha Stadium parking pass.

Marilyn Moniz-Kahoohanohano reiterated Wahine Volleyball event on 08/31/08 at 3:30pm. LWC is invited. The alumni match is on 11/05/08.

Riley followed up on response from Academic Center needs for computers purchase.

VIII. Next Meeting
The next BOD meeting will take place on Tuesday, September 16, 2008 at 5:00 p.m. in the Letterwinners Clubhouse.

President Don Weir adjourned the meeting at 6:18 pm.
